Customization
Forms
Forms are user interfaces where information related to a concept record is displayed, edited, and entered. Each form presents fields, relations, and auxiliary components defined on the concept in a specific layout.
Multiple forms can be created for a concept. This allows separate form designs for different user roles or usage scenarios.
Forms are edited as drafts, previewed, and activated through the Publish operation. Unpublished forms are not visible to users.
Each form has:
- Display Name
- System Name
The system name is unique and provides differentiation between forms.
Form Types
There are two types of forms in Robosme:
- Main Form
- Quick View Form
Main Form
The main form is the primary interface where all components related to a concept record can be placed.
Main forms work with the Tab → Section → Component structure.
Tabs and Sections
- A form consists of one or more tabs.
- Each tab can be designed with 1, 2, or 3 sections.
- The number of sections selected when creating a tab cannot be changed later.
Column constraints for field components are applied according to the number of sections the tab has:
- In 1-section tabs: 1, 2, or 3 columns
- In 2-section tabs: 1 or 2 columns
- In 3-section tabs: only 1 column
The number of columns in sections containing field components can be updated within the limits allowed by the tab.
Tabs and sections can be repositioned using drag-and-drop.
When a section containing field components is moved to another tab, compliance with the target tab's section and column rules is checked. Moves that do not comply with the rules are prevented by the system.
Components That Can Be Added to a Section
Only one component can be added to a section. After a component is added, it cannot be replaced with a different component.
Components that can be added to a section:
- Field
- List
- Quick View
- Activity Participant
- Timeline
- Media Management
Field, List, and Quick View components can be used in all concepts. Other components are visible depending on concept properties.
Field Component
The field component is where fields defined on the concept are placed on the form.
Fields can:
- Be made read-only separately for new record and detail record forms
- Be repositioned on the form with drag-and-drop
For field labels:
- Label length can be managed
- Whether the label is positioned above or below the input field can be determined
Field types that can be added to a form are limited by the system based on existing fields in the form. Some field types can only be added to a form once.
List Component
The list component allows related records of the concept to be displayed in a grid structure.
In the list component:
- The concept's many-to-one (lookup) relations
- Many-to-many relations
are listed.
The user determines which list will be displayed on the form by selecting one of the listed relations. The list to be displayed for the grid added to the form can be selected and all defined lists can be displayed.
Quick View Component
The Quick View component allows summary information of a related record to be displayed through a lookup field.
- Only concepts that lookup fields are linked to are listed
- Only one quick view component can be added for each lookup field
- Definition is made by selecting the quick view form to be displayed
If the lookup field value is empty, the quick view component is not visible on the form.
Activity Participant
Can be used in activity-type concepts.
This component enables:
- Sender
- Recipient
- Participant
activity-specific roles to be managed on the form.
The activity participant component:
- Can only be added once to a form
- Participant visibility and order can be customized
Timeline
The Timeline component can be used in concepts where the Note and Document feature is active.
- Can only be added once to a form
- At least one of Activity and Note options must be active
- Activity options are visible depending on whether the concept is related to or a participant in activities
The number of records to be displayed in the timeline can be managed.
Media Management
The Media Management component can be used in concepts where the Media feature is active.
- Can be added to multiple sections in a form
- Contains different configurations for image and video types
Script Usage
JavaScript-based scripts can be added to forms.
With scripts:
- Field filtering
- Visibility control
- Component behaviors
custom interface behaviors can be defined.
A script can be used in multiple forms. Which forms scripts are used in can be displayed, removed from the form, or completely deleted.
Quick View Form
The Quick View Form is a form type designed for the Quick View component used on main forms. The purpose is to enable quick viewing of basic information related to a linked record without disconnecting the user from the main form.
Key features of Quick View Forms:
- Consists of a single tab
- Multiple sections can be added
- Only Field component can be added to sections
- List, Relation, Timeline, Media, and Script components are not supported
This form type is kept limited to provide a simple and focused structure.
Quick View Form Usage Behavior
Quick View Forms are not opened directly by the user. They are only displayed on main forms, linked to a lookup field.
- If the lookup field has a value, the quick view form is displayed
- If the lookup field is empty, the quick view form is not visible on the form
For each lookup field:
- Only one quick view form can be defined
Through this structure, the user can quickly view summary information of a related record while not interrupting the workflow on the main form.
Approach Difference Between Main Form and Quick View Form
Main Form:
- Contains all details of the record
- Used for data entry and editing
- Hosts relations, lists, and auxiliary components
Quick View Form:
- Displays limited and summary information of the record
- Not focused on data entry
- Used to quickly identify a linked record
When these two form types are used together, both detailed work and quick information access are provided in a balanced way.
