Sales Calculations

Sales calculations are one of the most critical building blocks of Robosme CRM. The purpose of this topic is to provide a clear and traceable answer to the question "why was this amount calculated this way?"

In Robosme, calculations are made in a single center, on the Sales record.

Quote and order records do not perform calculations; they reference the calculated values on the sale and produce results that affect the sale.

Calculation Layers

In Robosme, calculations are handled in two layers:

  • Sales Product – line-based
  • Sales – total-based

This distinction is intentionally designed for:

  • flexible pricing,
  • accurate tax management,
  • healthy reporting

Sales Product Calculations

Each product added to the sale is converted into an independent Sales Product record. From this point on, calculations are based on the sales product, not the product.

On the sales product:

  • Unit price can be assigned from the price list or entered by the user with sales without price list
  • Unit price can be changed manually (Define a different price from the list price)
  • Tax on the product can be automatically assigned
  • Tax rate and amount can be adjusted by the user
  • Line-specific discount can be applied
  • Discount can be applied both as a percentage and as an amount.
  • Discount is applied first as a percentage, then as an amount from the remaining amount.
    1. Manual Discount (%) (Percentage discount)
    2. Manual Discount (-) (Amount discount)

Thanks to this structure:

  • The same product can be sold at different prices and taxes in different sales
  • The sale accurately reflects the real commercial situation

Sales Product Tax Calculation

Tax calculation behavior is controlled by user settings.

  • Dynamic Tax
    • Tax on the product is automatically assigned to the sales product
    • Can be adjusted by the user
  • Manual Tax
    • Tax on the product is not taken into account
    • Sales product starts without tax

System Calculated Fields on Sales Product

  • Unit Price = Price list price information or price information entered by the user
  • Total Amount = Unit Price * Quantity
  • Total Discount (-) = Total Amount * Manual Discount ( % ) + Manual Discount ( - )
  • Total Discount (%) = Total Discount (-) / Total Amount * 100
  • Grand Total = Total Amount - Total Discount ( - )
  • Tax = Grand Total * Tax Rate / 100
  • Tax Rate = Tax / Grand Total * 100
  • Extended Amount = Grand Total + Tax

Sales Calculations

As long as the sales record is active, calculations are made based on undeleted Sales Product records linked to the sale and definitions made on the sale.

When the sales record is deactivated, it is closed in calculations. Calculations are not updated with the updates made.

On the sale:

  • Grand Total Items Amount, Total Item Amount, Total Item Discount (-), Total Items Extended Amount, Optional Items Total Amount values are calculated from the Sales Product.
  • Sale-specific discount (bottom line discount) can be applied
  • Discount can be applied both as a percentage and as an amount.
  • Discount is applied first as a percentage, then as an amount from the remaining amount.
    1. Manual Discount (%) (Percentage discount)
    2. Manual Discount (-) (Amount discount)
  • Tax Amount value (with or without discount rate included) can be calculated from Sales Product records or the user can enter manually.
  • The user can enter the total of fees such as freight, cargo, transportation, service fee under Other Amounts.

Thanks to this structure:

  • The same product can be sold at different prices and taxes in different sales
  • The sale accurately reflects the real commercial situation

Tax Calculation on Sales

Tax calculation behavior is controlled by system settings.

  • Calculation
    • Product taxes are not automatically carried to the sale
    • Manually entered value
  • Excluding Sales Discount
    • Tax is calculated on the amount without discount
  • Including Sales Discount
    • Discount is applied first
    • Then tax is calculated

This structure supports different country and accounting scenarios.

Tax Locking and Recalculation

Tax on the sale:

  • Can be locked
  • Can be closed to automatic updates

However, if the user wishes:

  • Recalculate can be used
  • To update according to current tax rules

This way:

  • Control remains with the user
  • Accidental changes are prevented

These are calculations made according to the operations (value assignments) performed on Sales and Sales Product.

  • Grand Total Items Amount = Sum of Grand Total of non-optional Sales Product records linked to the sale
  • Total Discount (-) = Grand Total Items Amount * Manual Discount (%) + Manual Discount (-)
  • Total Discount (%) = Total Discount (-) / Grand Total Items Amount * 100
  • Subtotal = Grand Total Items Amount - Total Discount (-)
  • Total Tax =

Revenue Fields

Revenue fields form the basis of pipeline and forecast reports. In addition to being assigned by the system, they can be defined or edited by the user.

  • Estimated RevenueTotal Amount or Estimated Revenue
    • Automatically assigned if sales total amount is formed
    • Otherwise, the value entered by the user is preserved
  • Weighted RevenueEstimated Revenue * Probability
    • Calculated according to probability value
    • Represents the weighted equivalent of estimated revenue
  • Actual RevenueCompleted Order Amount or user-defined value

Impact of Quote on Sales

  • When a quote is created from a sale:
    • Current sales calculations are copied to the quote.
  • The last quote is assigned to the Last Quote field on the sale.
  • The total amount of the last quote is assigned to the Last Quote Amount field on the sale

The quote does not perform calculations; it represents the current state of the sale.

Impact of Order on Sales

For orders linked to sales:

  • Open Order Amount
  • Completed Order Amount
  • Canceled Order Amount

are automatically summed according to the status of orders and updated on the sale.

These fields clearly show:

  • The realization level of the sale
  • Operational progress
