Mailbox Configuration
Mailbox – Common Issues and Brief Explanations
Why is an incoming email marked as "unresolved"?
When the address in an incoming email does not match any user, contact, company, or lead defined in Robosme, or matches multiple records, the system cannot automatically match. In this case, the record awaits manual resolution.
Why do some emails automatically create new contacts, companies, or leads?
If the "create new record if no match is found" option is active in mailbox settings, the system automatically creates a new record from the incoming email. This behavior is managed specifically for each mailbox.
Why was an email automatically associated with a sales or case record?
If the email is a reply to a previous message and the previous email is associated with a record, the system automatically assigns the same association to the new email depending on mailbox settings.
Why is association sometimes not made?
Association behavior varies depending on whether it is based on the most recent email or the root email. If the relevant setting is inactive, the system cannot assign an association.
What does root email mean?
Root email refers to the first message sent in an email chain (reply loop). Association rules can also work based on this root message.
Why was the same email not created multiple times?
If the "create single record" option is active in mailbox settings, the system creates the email as a single activity record even if multiple users are recipients of the same email.
Why do some emails appear on behalf of a team and others on behalf of a user?
Mailboxes are associated with users or teams. Which mailbox the email was received through determines the ownership of the record.
Why do meetings and tasks also sync when using Exchange / Google?
Exchange and Google profiles allow synchronization not only of emails, but also of calendar, task, and contact records. This synchronization is not available in Custom profiles.
Why is email sending instant but records updated every 15 minutes?
Email sending through Robosme is instant. However, bidirectional synchronization with Exchange and Google runs periodically (every 15 minutes).
Why don't I enter a password when creating a mailbox?
In Exchange and Google integrations, the connection is established directly through the services' own consent screens. This way, the user password is not stored in the system.
Why do some matches now resolve automatically?
When an email address is manually defined and the "use this definition from now on" option is active, the system automatically applies this information in subsequent matches.
Why do flagged emails on Microsoft side come as tasks?
If this option is active in mailbox settings, Microsoft To Do / flagged emails are transferred to Robosme as task records.
