Sales Management
Order Management
An order is the point where the sale moves to the operational stage with the approval of the quote.
In Robosme, an order is generated from sales or quotes and is at the center of processes such as delivery, invoicing, and closure.
Simply:Sales = intent
Quote = promise
Order = commitment
An order can be created in two ways:
- Directly from sales
- Through a quote
In both scenarios:
- Products, prices, discounts, and taxes are preserved
- The order is linked to the related sales record
When an order is created:
- The sale remains active
- Operational tracking proceeds through the order
Creating an Order from Sales
Standard Order
- Covers all products in the sale
- Suitable for single delivery / closure scenarios
Custom Order
- All or part of the products in the sale can be ordered
- Used for partial deliveries and split operations
Thanks to this structure:
- Multiple orders can be generated from the same sale
- Complex delivery scenarios can be managed
Creating an Order from a Quote
An approved quote can be converted to an order with a single click.
When an order is created from a quote:
- Products in the quote become order items
- Prices and amounts are preserved
- The order is linked to both the quote and the sale
After this point:
- The operational process continues through the order
- The sale now approaches a "won" process
Calculations on Order
An order is calculated independently.
On the order:
- Open order amount
- Completed order amount
- Canceled order amount
are tracked separately.
These fields are calculated for reporting purposes and:
- The actual amount of the sale
- Revenue reports
- Operational performance metrics
directly affect.
Payment and Operation Information on Order
On the order record:
- Payment information
- Delivery status
- Operation notes
can be kept.
This way, the order:
- Becomes not only commercial
- But also an operational record
Partial Order Closure
Orders can be closed at once or partially.
In a partial closure scenario:
- An order closure product is created for each closed portion
- The closed amount is reflected in the sale
- The remaining amount is tracked as open
This structure is especially critical for:
- Long-term projects
- Partial deliveries
- Phased invoicing scenarios
Relationship with Sales Closure
As orders are completed:
- The actual amount of the sale is updated
- The sale can be closed as won
Important point:
Sales closure is the result of order closures.
That is:
- The sale is not considered fully complete until the order is closed
