Sales Management
Product Selection and Product Management in Sales
After creating a sales record, the most critical step in the process is determining which products will be added to the sale and under what conditions.
In Robosme, this process offers a flexible and controlled structure through the sales product concept, with price list / without price list scenarios, and fast product management features.
Sales Product
A sales product is the form of a product defined in the product catalog as used in the context of a specific sales record.
This distinction is intentional:
- Product: A general and reusable record defined in the catalog.
- Sales Product:
- Selected unit
- Unit price
- Tax
- Discount
- Optionality
This way, the same product can be used:
- In different sales
- With different prices, units, or discounts
Filtered Product Selection
Filtered product selection can be made through the Existing Product field in the Sales Product form.
The screen that opens when the filter button is clicked:
- Filter Product is fed from the product form
- Only presents fields added to this form as filters
Filtering logic:
- And / Or selection works
- Field-based exact matching is performed
- Range, multiple value, or contains queries are not used
This structure is especially used:
- In environments with many products
- To prevent incorrect product selection
- To shorten the sales time
Sales-Specific Product Views
Product listing on the sales screen:
- Independent from the general product management screen
- Specifically designed for the sales context
This way, the user:
- Sees only fields that are meaningful in sales
- Manages information belonging to the sales product directly after product selection
Data consistency is maintained with product management screens (Products, Manage Products, Custom Order); however, the sales screen is focused on operational speed.
Sales with Price List
If a Price List is defined on the sale, the system applies the following controls:
- Product selection is made through price list items
- Only product-unit combinations defined in the price list can be selected
- The price of the selected unit:
- Is automatically assigned to the unit price of the sales product
In this scenario:
- Price consistency is maintained
- The user does not make manual pricing errors
- The price list becomes the reference for the sale
Sales without Price List
If Sales without Price List is active in System Settings, a price list is not mandatory for sales.
In this case:
- If there is no price list on the sale
- all active units in the unit group to which the product belongs can be selected
- Define a different price from the list price becomes automatically active on the sales product
Price assignment logic:
- If the selected unit and currency match the definitions on the product
→ The product's price without tax is assigned to the sales product
- If there is no match
→ Unit price is entered manually
This behavior works the same way in:
- Sales Product form
- Manage Products screen
- Custom Order screen
Bulk and Fast Product Addition
You do not have to select products one by one to add them to a sale.
Manage Products screen:
- Quickly adding multiple products
- Managing unit, price, and optional settings on a single screen
enables this.
Custom Order:
- By editing products to be added to the sale instantly
- Allows you to create a sales-specific structure
These screens are especially used:
- In multi-item sales
- In one-time special pricing
- When you want to save time
Sales Product Types
Products added to a sale can be of three different types:
Standard Product
- Included in the sales total
- Included in price, tax, and discount calculations
Optional Product
- Does not affect the sales total
- Optional items are shown in a separate total
- Can be optionally displayed in quote and order outputs
Free Product
- Products that are not defined in the product catalog
- Added by entering name, price, and unit for instant needs
- Included in the sales total
Thanks to this structure, the sales screen offers:
- Both rule-based
- And flexible
product management.
